Privacy Policy

This Privacy Policy explains how Alien Energy (Pty) Ltd (registration number 2020/254510/07) ("Alien Energy", "we", "us") processes personal information in connection with our biomass energy services and our AlienView remote-monitoring platform (the "Services"). We process personal information in accordance with the Protection of Personal Information Act, 2013 ("POPIA").

1. Responsible party and Information Officer

The responsible party is Alien Energy (Pty) Ltd, with its registered office at Sonop 2 Farm, Ceres Road, Worcester, Western Cape, 6850, Republic of South Africa.

2. Personal information we collect and why

  • Account information (name, email address, mobile phone number, organisation and assigned role) — to create and administer your account and authenticate access to the Services.
  • Operational notification data (mobile number, message content and delivery status) — to send equipment-offline alerts, alarm conditions and account messages to the operators responsible for a site.
  • Plant telemetry (equipment readings, alarms and events) — to provide the monitoring Services; this may include limited personal information where an operator is associated with an event.
  • Usage and technical data (log-in activity, IP address, device/browser information) — to secure, operate and improve the Services.
  • Enquiry data (the details you submit through our request form or by email/phone) — to respond to your enquiry.

3. Messaging data — WhatsApp and SMS

To deliver operational and account notifications we process mobile telephone numbers and the content of the messages we send to you. These messages are delivered through third-party messaging processors:

  • WhatsApp Business Cloud API, operated by Meta Platforms, Inc., for notifications delivered via WhatsApp; and
  • Twilio Inc., for notifications delivered via SMS.

We share your mobile number and the relevant message content with these processors solely to transmit our notifications to you. They process this information on our behalf as operators/processors under our instructions and their own applicable terms and privacy policies. Our messaging is strictly transactional — we do not send marketing or promotional messages, and we do not sell, rent or share your mobile number or message content with any third party for that party's own marketing or promotional purposes.

Consent to receive these messages is obtained during account provisioning. You may opt out of SMS at any time by replying STOP (or HELP for assistance); for WhatsApp you may block or mute the business number or contact us to be removed. Message frequency varies with operational conditions, and message and data rates may apply.

4. How we share information

We do not sell or trade your personal information. We share it only:

  • with operators/processors who provide our cloud-hosting, email and messaging (including the WhatsApp Business Cloud API and Twilio described above), under contract and only as needed to deliver the Services;
  • within the access boundaries of the AlienView platform, so that authorised users see only the sites and data their organisation and role permit; and
  • where required by law, regulation or legal process, or to protect the rights, safety and security of Alien Energy, our users or the public.

5. Storage, transfers and retention

Some of our processors (including Meta and Twilio) may process information outside South Africa. Where personal information is transferred across borders, we take reasonable steps to ensure it receives a comparable level of protection as required by POPIA. We retain personal information for as long as your account is active and as needed to provide the Services, and thereafter only as required to meet legal, accounting or reporting obligations.

6. Security

We apply appropriate, reasonable technical and organisational measures — including encryption in transit, access controls and network segmentation — to protect personal information against loss, and against unauthorised access, alteration, disclosure or destruction.

7. Your rights as a data subject

Subject to POPIA, you have the right to:

  • request access to the personal information we hold about you;
  • request correction or deletion of your personal information;
  • object to the processing of your personal information;
  • withdraw your consent to communications (including SMS and WhatsApp notifications); and
  • lodge a complaint with the Information Regulator.

8. Complaints to the Information Regulator

If you believe we have not handled your personal information lawfully, you may lodge a complaint with the Information Regulator (South Africa):
